Privacy Policy

InkSchedule (“we,” “our,” or “us”) provides scheduling, booking, payments, and social management tools for tattoo studios and artists. This Privacy Policy explains how we collect, use, and share information when you use InkSchedule.
InkSchedule is a product of From Ashes To Ink LLC.
Eligibility
InkSchedule is intended for adults. Users must be 18 or older. We do not knowingly collect data from anyone under 13.
Information We Collect
- Account and profile information: name, email, phone, role, and profile photo/avatar.
- Studio information: studio name, address, timezone, business hours, and settings.
- Artist and client information: artist bios, specialties, pricing, portfolio items, client names, emails, phone numbers, appointment notes, and artist state/shop location data (such as shop name, address, city, state, ZIP, and formatted location).
- Appointments and scheduling: dates/times, services, status, duration, pricing, and deposits.
- Payments: amount, method, status, reference IDs, payout, transfer, refund, processing surcharge, and fee metadata. We do not store full card numbers. Card processing is handled by Stripe.
- Media and files: images uploaded for portfolios or profiles, chat attachments, and artist certification documents.
- Waiver and photo ID record information: signed waiver records, signatures, optional government-issued photo ID images when an artist requires them for waiver recordkeeping, and limited review metadata such as whether the ID appeared readable, review status, reviewer, and review date.
- Camera and photo library access: if you choose to take a picture or select an existing image or document in the mobile app, we access your device camera, photo library, or selected file only to capture, upload, attach, or update the content you requested.
- Communications: messages between users inside InkSchedule (stored in Supabase).
- Notifications: in-app notifications, unread/read status, delivery preferences (email/SMS/in-app), and event-specific notification settings.
- Reviews and ratings: star ratings, review text, review request tokens, and related appointment/client references.
- Payment handles (optional): Venmo, Cash App, and Zelle handle/tag values when artists enable those payment methods.
- Social connections (optional): social account IDs, access tokens, and analytics data from connected Meta accounts.
- Usage and diagnostics: basic app events and error logs to improve reliability and performance.
How We Use Your Information
- Provide and operate the InkSchedule platform.
- Manage appointments, bookings, studio operations, and client communications.
- Process payments, deposits, refunds, and payout workflows.
- Apply payment and compliance rules, including state-based surcharge behavior and payment-fee allocation.
- Send transactional notifications through enabled channels (email, SMS, and in-app).
- Send unread-message digests and appointment/review/payment related alerts based on preferences.
- Calculate and display artist ratings and reviews.
- Support waiver completion and limited photo ID recordkeeping where an artist requires it.
- Connect and manage social accounts when enabled.
- Let users take photos, choose images from their library, and upload documents for portfolios, profile images, certifications, receipts, and similar user-initiated content.
- Improve product performance, security, and user experience.
- Comply with legal obligations.
Camera, Photos, and Files
- The mobile app may request access to your camera when you choose features such as taking a picture for portfolio items, profile content, receipts, certifications, or other uploads.
- The mobile app may request access to your photo library or files when you choose existing media or documents to upload.
- These permissions are optional and are only used after you take an action that requires them. If you do not grant access, related upload features may not work.
- We do not use the camera, photo library, or file access for background collection, advertising, or unrelated tracking.
- Content you choose to upload may be stored in InkSchedule and made available to your workspace or to the public if you place it in public-facing areas such as artist profile or portfolio sections.
Waiver Photo ID Records
- Some artists may require a government-issued photo ID image as part of waiver recordkeeping. This is used only to support appointment and waiver operations for that artist or studio.
- Photo ID images are stored in private file storage and are only made available through short-lived access links to the client, the assigned artist, or authorized studio administrators.
- InkSchedule may run automated optical character recognition (OCR) to check whether an upload appears to be a photo ID record. The OCR check is not identity verification and does not replace human review.
- Photo ID images may be retained with the client waiver record where body art recordkeeping rules require a copy of government-issued photo identification.
Public Profile and Booking Content
Artist profile and booking pages may be public and may include profile photos, banner images, bios, specialties, booking links, shop/studio location details, and selected social links. Do not post sensitive personal information in public profile fields.
Booking Confirmations and Calendar Links
Appointment confirmation pages may show the artist or studio location and may provide links to open map apps and add appointments to calendar applications (for example, via iCal links).
Third-Party Services
We use trusted third-party services to provide InkSchedule:
- Supabase (database, authentication, and file storage).
- Stripe (payment processing).
- Meta (Facebook/Instagram OAuth, posting, and analytics).
- Resend (email delivery).
- Vercel (hosting and deployment).
- Google Analytics (planned; if enabled, this policy will be updated).
SMS Consent and Messaging
- We send transactional SMS only when a user explicitly opts in. For clients, that may happen during booking. For artists and other account holders, that may happen during signup or in account settings.
- Transactional SMS may include appointment confirmations, reminders, reschedules, booking status updates, account alerts, support messages, and other operational notifications.
- Message frequency varies. Message and data rates may apply.
- Users can reply STOP to opt out and HELP for support.
- SMS consent and phone numbers are not sold and are not shared with third parties or affiliates for marketing purposes.
How We Share Information
- With third-party processors necessary to run the service (listed above).
- With payment providers and rails needed to process transactions and payouts.
- With studio members and roles based on workspace permissions.
- When required by law, legal process, or to protect rights and safety.
- With your consent.
Cookies and Session Data
We use cookies and similar storage for authentication, session continuity, and security (including Supabase auth/session cookies). Certain booking and confirmation flows may also rely on temporary browser state for continuity.
Data Retention
- Account and workspace data is retained while your account remains active.
- Messages, appointments, and financial records may be retained for operational, audit, or legal needs.
- Certification documents and related dates are retained until deleted by the artist or studio.
- Photo ID images collected for waiver recordkeeping may be retained with the client waiver record for the applicable legal or operational retention period. InkSchedule defaults waiver ID retention metadata to three years unless a longer legal requirement applies.
- Notification records may be retained to support delivery history and user visibility.
- You can request deletion, subject to legal and payment record retention obligations.
Security
We take reasonable measures to protect your information. No system is 100% secure; we cannot guarantee absolute security.
Your Rights
- Access and correct your account/profile information.
- Manage notification preferences in Settings (global channels and per-event matrix).
- Request deletion of your account/data by contacting us.
Account Deletion
You can delete your account in the app under Settings - Security - Delete My Account. If you cannot access your account, email us at inkschedule@gmail.com with your account email and studio name. We will process requests within 30 days.
Location
InkSchedule currently operates in the United States only.
Changes to This Policy
We may update this policy as the product evolves. Changes will be posted on this page with a new effective date.
